Legal Assistant / Boston Office

The Firm is engaged in a search for a Legal Assistant in the Firm’s Boston office.  The Legal Assistant will provide secretarial, patent prosecution and other administrative support to member(s) of the legal staff, and team support as needed; maintain docket of assigned legal staff; prepare correspondence to clients and foreign associates; prepare form documents and correspondence; transcribe and/or draft documents and formal papers to be filed with the U.S. Patent and Trademark Office (USPTO); prepare and assemble papers to be reviewed by Quality Review and complete filing process to the USPTO after review.  This position is full-time, non-exempt.

Skills and Experience:
The successful candidate will possess a minimum of 2 years of patent prosecution legal secretarial experience in a law firm or other professional services environment; excellent writing and organizational skills; strong attention to detail; demonstrated consistently proactive approach to deadlines and tasks to ensure timely and accurate completion; ability to follow up and follow through; excellent oral and written communication and interpersonal skills; a professional, upbeat and goal-oriented approach; ability to interact with clients and all levels of personnel with professionalism and tact; expert proficiency in utilization of Microsoft Office applications; ability to work as both a team player and independently; working knowledge of USPTO rules and experience with electronic filing systems; ability to work successfully in a busy, fast paced environment and prioritize work from multiple attorneys.

Specific responsibilities include but are not limited to:  docket management; client portfolio management; preparation of correspondence as well as forms, letters and formal papers to be filed with the courts and U.S. Patent and Trademark Office (USPTO); tracking and proactive follow up on multiple deadlines and tasks to ensure timely and accurate completion; preparation of  correspondence and reports for clients/potential clients; client/case matter database and file maintenance; other duties as assigned.

Docketing Assistant / Specialist / Concord Office

We are engaged in a search for a Docketing Assistant/Specialist to support a busy, fast paced docketing department.  The Docketing Assistant/Specialist is responsible for providing assistance to docketing team members on routine docketing and document management tasks including, but not limited to, the processing of inbound, outbound and internal IP prosecution communications.  The Docketing Assistant/Specialist works closely with his/her supervisor and team members to provide consistent high quality service to both internal and external clients.  The Docketing Assistant/Specialist provides back-up to team members when necessary.  This position is full-time, non-exempt and located in the Firm’s Concord, MA office.

Responsibilities include but are not limited to:

  • Demonstrate ability to understand basic IP prosecution concepts and workflow within and across groups in order to successfully perform all job functions.
  • Monitor postal and electronic inboxes for IPRM communications. Review, prioritize, stamp, scan and log communications. Route invoices and process mail.
  • Process inbound mail and internal docket-based requests by updating docketing database records and maintaining electronic records.
  • Handle file requests.
  • Assist on projects as assigned.
  • Perform tasks in compliance with the Firm's policies, processes and procedures.
  • Perform other duties including team coverage, as required.

Skills and Experience:

  • A minimum of two years of office administration experience required, IP docketing experience preferred.
  • Excellent working knowledge of Windows-based software, Adobe and document/file management systems required.
  • Experience with electronic docketing software strongly preferred.
  • Excellent data entry skills and attention to detail.
  • Strong organizational skills and ability to meet deadlines.
  • Ability to prioritize and work on multiple projects under tight deadlines.
  • Flexibility to respond to immediate and changing needs of attorneys and clients.
  • Excellent verbal communication and writing skills.
  • Highly motivated and professional individual with good judgement.
  • Ability to work independently and as part of a team.
  • Ability to work overtime as needed.
