Billing Coordinator/Accounting Assistant - Concord Office

The Firm is engaged in a search for a Billing Coordinator/Accounting Assistant in the Firm’s Concord Office.  The Billing Coordinator/Accounting Assistant will perform a variety of accounting duties according to established policies and procedures with primary focus on billing functions, payroll processing, entering data into accounting databases and accounting software, filing and providing other miscellaneous accounting assistance as required.  This position is full-time, non-exempt.

Skills and Experience:
The successful candidate will possess demonstrated proficiency with computerized accounting and spreadsheet software programs; facility with Microsoft Office Suite, e.g., Outlook; ability to read, write and perform arithmetic computations at a level required to maintain and verify accounts; on-the-job experience necessary in order to gain understanding of finance policies and procedures in order to carry out routine accounting duties with minimal supervision; ability to respond to requests requiring analysis of client account histories and payroll inquiries; ability to organize and prioritize numerous tasks and complete them under time constraints; ability to engage productively when work often requires a high level of mental effort and strain when performing a high volume of complex computations and performing other essential duties; ability to operate a computer keyboard and ten-key pad for data entry; ability to maintain a high degree of accuracy and attention to detail; demonstrated ability to work both as a team player and independently; ability to work more than 35 hours in the office per week occasionally to perform the essential duties of the position.  Billing experience in a professional services environment, preferably in a law firm setting, a plus.

Responsibilities include but are not limited to:
Specific responsibilities include but are not limited to:  The primary function - All aspects on the monthly billing cycle; Preparing and processing draft and final bills; Bill editing following firm policies and procedures; Preparation and processing of client required spreadsheets and LEDES billing through 3rd party software; Assisting with end of month billing functions; Responding to client and attorney inquiries on bills; Processing payroll information concerning additions, changes, terminations, overtime, vacation and sick time, hourly pays, etc., as well as other payroll related tasks as required; Performing miscellaneous accounting functions; Other duties as assigned.

Legal Assistant / Concord Office

The Firm is engaged in a search for a Legal Assistant in the Firm’s Concord office. The Legal Assistant will provide secretarial, patent prosecution and other administrative support to member(s) of the legal staff, and team support as needed; maintain docket of assigned legal staff; prepare correspondence to clients and foreign associates; prepare form documents and correspondence; transcribe and/or draft documents and formal papers to be filed with the U.S. Patent and Trademark Office (USPTO); prepare and assemble papers to be reviewed by Quality Review and complete filing process to the USPTO after review. This position is full-time, non-exempt.

Skills and Experience:

The successful candidate will possess a minimum of 5 years of patent prosecution legal secretarial experience in a law firm or other professional services environment; excellent writing and organizational skills; strong attention to detail; demonstrated consistently proactive approach to deadlines and tasks to ensure timely and accurate completion; ability to follow up and follow through; excellent oral and written communication and interpersonal skills; a professional, upbeat and goal-oriented approach; ability to interact with clients and all levels of personnel with professionalism and tact; expert proficiency in utilization of Microsoft Office applications; ability to work as both a team player and independently; working knowledge of USPTO rules and experience with electronic filing systems; ability to work successfully in a busy, fast paced environment and prioritize work from multiple attorneys. Core working hours of 11am-7pm or 10am-6pm a plus but not a requirement.

Specific responsibilities include but are not limited to: docket management; client portfolio management; preparation of correspondence as well as forms, letters and formal papers to be filed with the courts and U.S. Patent and Trademark Office (USPTO); tracking and proactive follow up on multiple deadlines and tasks to ensure timely and accurate completion; preparation of correspondence and reports for clients/potential clients; client/case matter database and file maintenance; other duties as assigned.
