1. IT Support Specialist (FT)

Hamilton Brook Smith Reynolds is seeking an IT Support Specialist to join the firm.  Based in the Concord office, this non-exempt position reports to the IS Director and is expected to provide quality and prompt technical support to the legal and support staff.  Responsibilities for this position will include, but not be limited to, resolving hardware, software and basic network issues, imaging desktops & laptops, providing support for conference room audio-visual systems, security, postage and unified communication systems, working with IT vendors in maintaining printers/copiers, and participating in a team providing general technical support to end users in two offices (Concord and Boston) and remote home offices.  This position will assist IT Department staff in day-to-day technology operations, ensure the company’s employees have up-to-date, secure and functioning technology in order to perform the core functions of their jobs, and perform additional duties as assigned.

The ideal candidate will have 2-5 years of experience in a fast-paced, demanding IT support environment, preferably in a law firm or professional services environment.  This position involves significant interaction with attorneys and staff and requires strong interpersonal, verbal and written communication skills.  

Experience and Education Requirement:

  • Technical knowledge of Microsoft Windows, Office suite of applications, with an emphasis on MS Word, Adobe Acrobat PDF software and other legal specific applications. 
  • Technical knowledge of hardware and software applications normally acquired through a Certificate, Associates, and/or Bachelor’s degree or equivalent or on the job experience.
  • General understanding of desktop hardware and troubleshooting.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Practice total contact ownership from acknowledgement to closure.
  • Work occasionally requires a high level of mental effort and strain when performing under pressure of time constraints.
  • Work occasionally requires more than 35 hours in the office per week to perform the essential duties of the position.
  • May be required to be on-call if problems outside of normal business hours occur.
  • Ability to lift, carry, pull and push up to 25 pounds.
  • Hours for this position include a mix of 9:00 am-5:00 pm and 10:00 am-6:00 pm shifts, Monday through Friday, in both the Boston and Concord offices.

2. Legal Assistant / Concord Office

The Firm is engaged in a search for a Legal Assistant in the Firm’s Concord office. The Legal Assistant will provide secretarial, patent prosecution and other administrative support to member(s) of the legal staff, and team support as needed; maintain docket of assigned legal staff; prepare correspondence to clients and foreign associates; prepare form documents and correspondence; transcribe and/or draft documents and formal papers to be filed with the U.S. Patent and Trademark Office (USPTO); prepare and assemble papers to be reviewed by Quality Review and complete filing process to the USPTO after review. This position is full-time, non-exempt.

Skills and Experience:

The successful candidate will possess a minimum of 5 years of patent prosecution legal secretarial experience in a law firm or other professional services environment; excellent writing and organizational skills; strong attention to detail; demonstrated consistently proactive approach to deadlines and tasks to ensure timely and accurate completion; ability to follow up and follow through; excellent oral and written communication and interpersonal skills; a professional, upbeat and goal-oriented approach; ability to interact with clients and all levels of personnel with professionalism and tact; expert proficiency in utilization of Microsoft Office applications; ability to work as both a team player and independently; working knowledge of USPTO rules and experience with electronic filing systems; ability to work successfully in a busy, fast paced environment and prioritize work from multiple attorneys. Core working hours of 11am-7pm or 10am-6pm a plus but not a requirement.

Specific responsibilities include but are not limited to: docket management; client portfolio management; preparation of correspondence as well as forms, letters and formal papers to be filed with the courts and U.S. Patent and Trademark Office (USPTO); tracking and proactive follow up on multiple deadlines and tasks to ensure timely and accurate completion; preparation of correspondence and reports for clients/potential clients; client/case matter database and file maintenance; other duties as assigned.
